HOTEL PREPARATION CHECK-LIST

Check List when conference is at a hotel • Sets dates for the commencement of the major conferences a year in advance.

• If meeting at a hotel check size of meeting room.

• Hotel cost may be established by the number of guests. If no guest, a flat room rate will be given.

• If deadline for hotel registration is met, guest must find another hotel to accommodate them.

• Meeting room rates will be in affect for full day, or ½ day based on evening starting time.

• Sample of contract will be enclosed

• Contact person from sales & catering during weekend and or evening hours.

• Maintenance workers are responsible for extra chairs, water, air conditioning etc. also contact person will be needed.

• When guest rooms are included in fee, each morning get a printout from the front desk. This will give total rooming nights for guests.

• Planning for tables and registration table will be organized after signing of contract. Tables will be classroom or theater style. Conference Guidelines Sales Sales forms and exemption list will come from Headquarters for major conferences. Forms for local conferences will come from MBM Global Conferences.

• Will get vouchers for packages from the Accounting Department .

• Will prepare Price Lists of all Study Guide Packages being sold

• Will receive Exempt List from the Financial Comptroller/Controller of any persons to receive materials without paying. The Sales team will be responsible for:-

• Keeping accurate inventory

• Duplicating audio cassettes

• Reconciling all book sales

• Dispensing items to conference delegates on the Sales Desk.

Conference Guidelines Ministers in Assistance (MIA)

The International President of the MIA Board will receive instructions concerning the conference from the International Director and provide a Duty Roster to the local presidents of all locations, prior to Conference. Roster should include dress code for that evening, names of MIAs on duty and sessions each location is responsible for. A copy of this list is to be submitted to the International Director.

• All assigned board members are to be in place at least a half hour prior to the commencement of the session.

• To assist any member of the Pastoral Board with any physical needs.

• Being watchful and prayerful during the service.

• Will make available chalk and any other supplies needed by the speaker/ minister.

• Must be Prepared to be a scribe if asked by the minister.

• Prepared with natural aides ( see the MIA kit)

• Collects order forms from Senior Pastors ensuring that all relevant information has been completed. It would be wise to assign local MIA’s to their pastorate to collect their Study Guide Package.

• Remove the mints/candy from tables after each session

• Set up Pastoral tables – water, glasses, candy, napkins etc.

• Will seat the Senior leadership/Pastoral Board as well as attends to their needs during the service.

• Reserved Seating Signs should be placed ahead of time in the designated areas.

• Seating arrangements will be assigned by the International Director and given to the MIA International President, who will ensure that the leader of the MIA’s on duty has a copy for the proper seating arrangements of the Pastoral Board. It is important that the senior leadership and the pastoral boards of each location wear name tags with their location on it in order that the Mia will be able to identify them.

• Providing additional stationary etc. if needed by any pastor during the conference.

• The International Director and staff is responsible to prepare a “Welcome Package” that will be personally handed to each Pastor by the MIA.

Conference Guidelines Pastoral Service Aides

(PSA) The International President of the PSA Board will receive instructions from the Conference Director and provide a responsibility roster to the local presidents of all locations, prior to Conference. Roster should include dress code for each evening, names of PSA’s on duty and sessions each location is responsible for. A copy of this list is to be submitted to the Conference Director.

• Pastoral Service Aids (PSA) are the intercessors for the Pastoral Board. Dress codes for each location, names of those that are to be available for the day and evening sessions will be provided.

• Works with the prayer counsel to ensure that prayer begins ½ hour before each session.

• Responsible for coordinating the Delegate Registration, name-tags (in alphabetical order, printed & blank – where needed),

• Responsible for selling and distributing books.

• Must be in regular communication with the Sales Coordinator.

• Coordinate Tape Sales Table + reproduction of tapes?? (Audio & Video)

• Ensuring that Senior Leaders are comfortable in their rooms, each Senior leader is assigned a Pastoral Service Aide (PSA).

• International President or designee to keep in touch the Administration regarding any changes or discrepancies that may take place during the conference.

• Catering to the Pastoral meetings or fellowship after conferences.??

MIA GUIDELINES FOR HOSPITICIANS

• The International President of the Hospitician Board will receive instructions from the Conference Director and provide a Duty Roster to the local presidents of all locations, prior to Conference. Roster should include dress code for that evening, names of Hospiticians on duty and sessions each location is responsible for. A copy of this list is to be submitted to the Conference Director.

• Hospiticians seek to oversee the needs of the congregation

• Responsible for Greeting and seating of delegates and the handing out of schedules.

• Notifies Information Desk when help is needed for chairs, water, etc.

• Will Have tithe, love offering and pledge envelopes available during offering

• Seating must be arranged so all young children and babies are in the back of conference room in order for the noise does not effect the quality of the tapes.

• Ensures adequate Tissues, lap cloths, and fans are available

• All hospiticians must be in place ½ hour before time.

• Must ensure that all bathrooms are kept clean and tidy throughout the conference.

• Must ensure that adequate amounts of hand towels, toilet tissue and soap is provided at all times.

• Floors to be kept dry and clean at all times. Children under the age of 6 years of age will not be allowed in the bathrooms alone. They must be accompanied by an older child or an adult.

GUIDELINES FOR DEACONS

The International President of the Deacon Board will receive instructions from the Conference Director and provide a Duty Roster to the local presidents of all locations, prior to Conference. Roster should include dress code for that evening, names of Deacons on duty and sessions each location is responsible for. A copy of this list is to be submitted to the Conference Director. Security – Collects offering – Clean sanctuary

• Secures and Mans the doors and hallways

• Ensures that no-one loiters in the lobby/sanctuary/the grounds

• Receives the offerings – submitted to Accounting

• Responsible for maintaining order in the sanctuary while worship service is in session.

GUIDELINES FOR BROTHERHOOD

• The International President of the Brotherhood Board will receive directives from the Conference Director concerning the conference.

• Will provide a schedule of responsibility to the local presidents of all locations that are assigned to work, prior to Conference. Schedule should include dress code for each session, names of Brotherhood on duty and the sessions that each location is responsible for. A copy of this list is to be submitted to the Conference Director.

• Will communicate with the assistant director of communication to organize transportation and travel arrangements for the delegates.

• Will assign the transporters with the required information for pick-up.

• Will be responsible for making a sign that will identify you as a member of Bible Teachers when picking up delegates from the airport.

• Assist Deacons with the cleaning of the sanctuary after each session. ( applicable only if meeting is held at the Global Training or a church location)

GUIDELINES FOR DELEGATES

• All delegates that are members of a Bible Teachers International Ministry must register with their local conference administrator prior to the date of the conference.

• The delegate picks points are: Airports, boat ports, train and bus terminals. All destinations from these points will be the local church or a hotel. If there alternate destinations required ,the delegate is responsible to make those arrangements.

• Notification for transportation and accommodation must be sent through the locations through your local MBM administrator.

• Each delegate must pay the required $10.00 fee for transportation to and from the airport

• Delegates are required to give contact information at the Registration Desk in case of emergency

FORMS AND REPORTS

The following required forms and reports are meant to facilitate the smooth flow of communication from the various departments of MBM Global Conferences to Headquarters and therefore must be used as directed. The forms are basically self-explanatory, however we have included their purpose and usage. All Masters Forms will originate from Headquarters and at no time should any location deviate from using changing their format. The forms are not meant to be intimidating but an instrument that will assist in improving the productivity as well as fulfilling the responsibilities of the training and development of the personnel involved in working this area of Ministry. Forms used in this reporting system help to monitor the progress over a specific period and enables us to plan and to make changes that will benefit the whole Body. It is necessary for each location to utilize the Internet for downloading the prescribed forms and reports, as they are needed. These can be copied, duplicated and e-mailed or faxed to Headquarters at the times required for the reports. Further explanation and practical training in the proper usage of the forms will be facilitated during regular training meetings, at Workshops sessions scheduled by the Administrator.
